Purchasing and Accounts Manager

Salary: £35,000–£40,000 per annum, depending on experience

Working Hours: Monday to Friday, 5 days per week

Global Bartending is an experiential drinks and events business working with some of the world’s leading drinks and lifestyle brands across the UK and internationally. From large-scale events
and brand activations to bartender education, training and creative projects, our work is varied, fast-moving and rarely the same from one week to the next.
Behind it all is a close-knit team based at our Essex HQ, working across events, operations, creative, finance and people to bring each project to life. As we continue to grow, we’re looking for a highly organised Purchasing & Accounts Coordinator to join the team and help keep everything running smoothly behind the scenes. .
The Role
This is a varied, hands-on role for an experienced administration or finance professional who enjoys working in a busy, fast-paced environment. You will manage day-to-day purchasing across the business, helping our teams organise and purchase everything they need to deliver projects and events.
A key part of the role will be coordinating UK and international travel and accommodation for our team, talent and clients, alongside sourcing event equipment, props, uniforms, merchandise and other business requirements. You will manage approximately 400–600 purchasing transactions and business expenses each month, ensuring purchases and bookings are accurate, within budget, properly recorded and completed on time.
You’ll work closely with our Finance Manager and teams across the business, becoming the go-to person for purchasing, travel and accommodation, while helping us keep company spending organised and running smoothly.
Key Responsibilities
Manage all day-to-day purchasing across the Global Bartending group.
Coordinate UK and international travel & accommodation for Talent, team members and clients for projects, events and site visits, including flights, trains and other travel requirements.
Manage travel and accommodation changes, cancellations and queries when required.
Source and purchase goods and services across the business, including:
Event equipment and props
Uniforms and branded merchandise
Office supplies
Technology and software
Marketing materials
Operational equipment
Work with teams across the business to understand what is needed, when it is needed
and the available budget.Manage orders and deliveries, ensuring purchases are accurate, on time and provide
good value for money.
Maintain accurate records of purchases, bookings, invoices, receipts and company expenditure, ensuring the correct approvals and procedures are followed.
Help centralise company purchasing and reduce unnecessary individual company card spending.
Manage relationships with regular suppliers, requesting quotes, comparing costs and sourcing new suppliers where required.
Help identify opportunities to reduce costs and improve the way purchasing is managed.
Be comfortable learning and using AI tools and new technology to help simplify everyday business processes.
What We’re Looking For
You’ll be an experienced administration, finance or purchasing professional who is highly organised, reliable and enjoys keeping on top of the details.
You’ll be someone who likes getting things sorted, follows tasks through from start to finish and is comfortable juggling lots of different requests at once.
You’ll have a good eye for value, be confident communicating with suppliers and colleagues and enjoy being the person who keeps things organised and running smoothly behind the scenes.
Essential Skills and Experience
3 years experience in an administration, finance, accounts or purchasing role.
Experience managing a high volume of transactions, bookings, orders or expenses.
Very strong interpersonal and communication skills (fluent in English, spoken and written)
Efficient, detail-oriented, organised, and able to work under tight deadlines. Confident working with suppliers, sourcing products/services and comparing costs.
Excellent Microsoft Excel and Microsoft Office skills.
Excellent communication skills and comfortable working with different teams across the business.
Ability to manage multiple priorities and work independently.
Salary and Benefits
£35,000–£40,000 per annum, depending on experience.
